Why hire a day-of wedding coordinator (DOC)?
With the availability of blogs and DIY wedding and event sites, more couples and celebrants than ever are opting to plan their own big day, from start to finish.  These involved brides and grooms are taking matters into their own hands, but they still deserve to enjoy every special moment of the wedding without stress.  The DOC provides that opportunity, ensuring that your plans are carried out smoothly and that any problems are handled immediately and discreetly, freeing up the wedding party and guests to enjoy a perfectly planned day. We work directly with you and vendors to plan and keep track of the timeline, set up layout and centerpieces, coordinate transportation, and so much more. ​
Pre-wedding planning session(s):
  • Introductions - Meet with bride and groom to discuss timeline and services
  • Visit to ceremony/reception venues for walkthrough
  • Unlimited email communication with coordinator from date of contract, including questions on issues of vendor selection, décor, logistics, planning, etc.
  • One week before wedding day - confirm final details with bride and groom.  Reach out to all vendors and confirm arrangements and timing.
Rehearsal:
  • Work with wedding party and officiant to choreograph ceremony, including processional and recessional
  • Confirm cues, timing, music, and roles
  • Communicate timeline and event details to wedding party
Pre-ceremony:
  • Make sure ceremony space is entirely set-up to bride and groom's specifications (i e. programs, unity candles, yarmulkes, guest book, music, flowers, aisle runners, ushers, officiant)
  • Ensure on-time arrival of everyone the bride needs to get ready for the day (i.e. hair, make-up, flowers, wedding party)
  • Coordinate on-time transportation to ceremony location for bridal party 
  • Work with groomsmen to confirm arrival of groom on-site on time
  • Facilitate photos by gathering family and maintaining "shot list" for photographer

Ceremony:
  • Cue the music or musicians to start and end each piece of music
  • Line up the bridal party and make sure each member is fully prepared (i.e. flowers, rings)
  • Direct photographer and videographer efforts
  • Following the ceremony, facilitate photos and receiving line
  • Oversee communication with guests regarding reception (i.e. location, parking/transportation, and timing)
  • Ensure that clean-up procedure is properly followed
Pre-reception:
  • Serve as the primary point of contact for guest satisfaction and questions
  • Make sure reception space is entirely set-up to bride and groom's specifications (i.e. layout, centerpieces, candles, table numbers/names, menu cards, gift table, favors, amenities baskets)
  • Manage all communication with caterer (i.e. bar and cocktail hour set-up, timeline of event)
  • Serve as primary liaison with on-site coordinator, where applicable
  • Ensure on-time arrival of all vendors (i.e. caterer, DJ/band, photographer, videographer, photo booth)
  • Transport anything necessary from ceremony to reception (i.e. guest book, floral arrangements)
Reception:
  • Oversee timeline of events, announcements, and traditions (i.e. wedding party entrance, first dance, toasts, cutting the cake)
  • Work closely with DJ or band to maintain flow of reception
  • Coordinate with caterer on timing of each course or buffet or passed hors d'oeuvres 
  • Ensure that clean-up procedure is properly followed
  • Settle accounts and distribute gratuities to vendors
  • Place personal items from reception (i.e. gifts, favors, leftovers) into cars
