From fundraising galas to educational conferences, Without A Hitch was founded on experience planning events of all sizes in the nonprofit sector.  We possess a wealth of knowledge about the philanthropic and special event community in the Boston area.  Without A Hitch would love to help execute your small nonprofit's event vision so you can focus on the work you are doing in the community. We are proud to support your work.

Pre-event planning session(s):
  • Introductions - meet with organization to discuss timeline and determine services
  • Visit to venue for walkthrough and vendor meeting
  • Unlimited email/phone communication with coordinator from date of contract, including questions on issues of vendor selection, décor, logistics, planning, etc.
  • One week before event - confirm final details with organization.  Reach out to all vendors and confirm arrangements and timing, including special requests or accommodations.
Day-of event:
  • Serve as the primary point of contact for guest satisfaction and questions
  • Make sure conference or reception spaces are entirely set-up to organization's specifications
  • Ensure on-time arrival of all vendors and key guests
  • Serve as primary liaison with on-site coordinator, where applicable
  • Manage all communication with caterer (i.e. bar and cocktail hour set-up, timeline of event, meal service)
  • Work closely with DJ, band, or emcee to maintain flow of reception
  • Oversee timeline of events, announcements, and traditions
  • Coordinate transportation for guests to/from the event sites
  • Facilitate photos and video by gathering key participants and maintaining "shot list" for photographer
  • Cue the music or musicians to start and end each piece of music
  • Transport anything necessary between onsite event spaces (i.e. guest book, floral arrangements, guest book, favors)
  • Settle accounts and distribute gratuities to vendors
  • Ensure that clean-up procedure is properly followed
